4 Ways HR can Improve Internal Communications

You and I agree to the fact that communication is an integral part of our lives. It’s essential to communicate effectively to your customers and clients so that they understand what you mean. That's the big reason why organizations are increasingly looking for soft skills apart from hard skills. 

There’s a huge emphasis on external communication- the message that goes out to the world but what about internal communications- the people sitting next to you, in some other department, or your managers or mentees? You could consider some of these tips:   

  • An Office Forum for Open Communication:

While it’s good to have an open communication culture in the office premises, nothing can be better than giving it a shape or a form. Employing some forum or channel to bring the best ideas out of people like weekly standup meetings or virtual forums can be great mediums to discuss new ideas and new trends marking the industry. Another important part of this is to think of the ways such ideas could be leveraged possibly in real business scenarios to make your brand proposition better. If no follow-ups are taken on ideas suggested by employees, the flow of ideas will stagnate. If the ideas are not sustainable in any way for the business you are in or due  to any other possible reason, it should be explained in such terms to the employees, that they are able to see the ‘why’ of it. Your primary concern is to not to kill the creativity.

  • Talk Sessions:

Conduct talk sessions once a week for every department just like Ted Talks or Toastmaster where the entire team gets together to talk about some random topic not related to work. Either one speaker comes prepared and enlightens the rest of the team about some interesting topic (Ted Talks) or the complete team discusses a previously chosen topic (Toastmaster). These sessions can be conducted via Skype, Zoom, or WebEx for video conferencing and web conferencing to bring onboard everyone in your team. Along with enhancing team collaboration, it helps strengthen communication and other soft skills of participating members from across geographies, working remotely or traditionally.      

  • Automation:

The culture of an organization is somewhat dependent on technology but until and unless it’s completely integrated into the existing workflows and processes of employees, the technology will remain unutilized. Technology can be used for creating workspaces that help professionals  connect highly with each other professionally like enterprise social networks and collaboration tools like Workplace by Facebook, Asana, and WhatsApp or professionally through in-house organizational social network app or tool developed specifically for employees to share photographs, seek help organization-wide, discuss personal or professional events, and share news and information. Not only this fosters cohesive and collaborative workspaces, but allows employees to feel connected with each other on many levels.

  • Consent Management:

Companies must be on the lookout for ways to give their customers and clients a seamless authority and control over their data. Some effective ways to handle consent management and data privacy:

Consent Forms: Before using any data, people must be informed why the data is being collected and how it will be used. Just like Google does. Also, get their consent on the same.

Strong Processes: Install in place strong systems and processes which are also streamlined according to GDPR regulations. This way personal data of customers is safe with you and you are safe with regards of legislation.

Data Security: There must be strong and robust data security measures in place along with effective storage and retrieval platforms. Not to mention, regulations regarding sharing it with any third-party.
